Start with the ceremony arrival time

Work back from when guests should be seated, rather than the ceremony’s start alone. Include boarding, the drive and the walk from the coach set-down point. If guests are staying at several hotels, list the pickup order and how many people will board at each one.

A separate ceremony and reception need another planned movement. Confirm whether everyone travels together and whether the vehicle must wait during the ceremony. A short distance can still require time for photographs, gathering guests and loading the vehicle.

Match the vehicle to your venues and guests

Coach hire can keep a larger guest group together, while minibuses may be useful for a small party or separate hotel routes. Share any narrow entrance, low arch, turning restriction or designated coach parking area supplied by the venue.

Count children in the passenger total and request any child seats or accessibility arrangements early. If guests will carry overnight bags, include those too. Vehicle decorations, refreshments and onboard facilities should be discussed in advance rather than assumed.

Give the evening return its own plan

Choose a clear final collection time and a place that guests can find after dark. An earlier departure may be useful for some guests, followed by a later return for the rest. The right arrangement depends on demand, route length and the vehicles available.

Decide who will be the transport contact on the day so the couple do not have to coordinate every departure. Share the schedule with guests beforehand and make clear whether a missed departure can be accommodated; extra runs are not automatically included.

What if our final wedding guest count is not ready?

Give the best estimate and likely range, plus the date you expect final numbers. Confirm any changes before booking amendments or additional vehicles become necessary.

Can a wedding coach reach a rural venue?

The venue’s access determines the options. Share entrance dimensions or restrictions, turning space and coach parking instructions so a suitable vehicle can be considered.
