Matching the vehicle to the group
Vehicle categories overlap between operators. Start with the maximum passenger load, then list suitcases, cabin bags and bulky equipment separately. A group travelling with large suitcases may need a different configuration from the same group with day bags. More passenger seats do not by themselves establish more storage.
Give the exact pickup addresses and any access instructions supplied by hotels or venues. The operator should assess the proposed vehicle against the route. Compare one larger vehicle with several smaller vehicles using the full itinerary, luggage requirements, coordination needs and complete quotations.
Luggage capacity, in practice
Luggage capacity depends on the specific vehicle and seating configuration. State the number and approximate size of suitcases and cabin bags, then ask how they will be stored with all passengers aboard. Do not assume one suitcase per seat or that unused seats can be used for luggage.
Bulky items need their own conversation. Skis, bicycles, orchestral instruments and sports kit all take hold space out of the calculation, so tell us about them with the passenger count rather than on the day.
Accessibility and child seats
Describe accessible boarding needs, the number of wheelchair users and whether passengers will remain in a wheelchair or transfer to a seat. Include equipment dimensions where relevant. Ask the booking team to confirm an appropriate vehicle and its availability for the route and dates before committing.
For school and family groups, provide the children’s ages and ask which seating or restraint arrangements apply to the route and offered vehicle. Confirm any required equipment and who supplies and fits it before booking.
What to confirm in the quotation
We arrange transport with a driver. Check the written quotation for the agreed route, dates, vehicle requirements, waiting and included movements. Ask whether parking, tolls, ferries, access charges and any driver accommodation are included or separately itemised.
Specification varies by operator and vehicle. Request essential features, including air conditioning, a toilet, charging or Wi-Fi, and have them confirmed for the offered vehicle. Category names and photographs should not be treated as an equipment guarantee.
