Madrid’s SEA system distinguishes short passenger stops, parking of up to two hours and longer-stay parking. The city’s guidance includes passenger bays limited to five or fifteen minutes, with hours depending on the location. Ask the operator to check the signed conditions of the proposed stop rather than assuming the same rule applies throughout the centre.
Build the visit around a clear meeting point
For an art, business or sightseeing programme, supply the full venue entrance and the time your group must be ready to enter. Agree where passengers will gather after the visit, and how the driver will be contacted when the group is together. If the coach leaves to park elsewhere, the return collection is a separate movement that needs to appear in the schedule.
Example: hotel, timed visit and group dinner
A request for a morning visit and an evening dinner should show the hotel address, both venues and the final return. State whether you need daytime vehicle availability or only separate transfers. Madrid airport groups may arrive through different terminal routes
Aena publishes separate terminal-transfer arrangements for the road shuttle between the main terminals and the automated link between T4 and T4S. Those airport connections are distinct from the private coach meeting point. Send the flight number and terminal information from each booking instead of asking every passenger to meet at an unspecified airport exit.
For passengers arriving through T4S, Aena’s guidance describes an onward terminal movement to T4 for baggage collection where required. Agree the landside meeting instructions with the operator and allow for the group to assemble with its bags. Do not set the ready-to-board time solely from the aircraft’s landing time.
IFEMA: use the entrance for your event and collection
IFEMA’s arrival guidance shows several road approaches and locates the Metro exit opposite the South entrance. The most convenient entrance for someone arriving by train may differ from the event’s approved coach stop. Include the hall, registration time and organiser’s vehicle instructions when requesting transport.
For Madrid event transfers, separate the hotel shuttle from any direct airport movement. List cases and equipment as well as passengers, then agree a return meeting point after the exhibition. If the evening programme continues at a restaurant or sporting venue, name that entrance and finish time too, so waiting and later collection are included in the quotation.
