Wedding transport is a sequence of guest movements, not just one arrival at a venue. The most useful plan accounts for where people stay, which events they attend and when different groups want to leave.

Map each guest movement separately, with a headcount and departure time. Confirm the final return plan before telling guests transport is arranged.

Map the day by movement

List hotel-to-ceremony, ceremony-to-reception and reception-to-hotel journeys where needed. If the ceremony and reception share a venue, the middle transfer disappears—but you may still need different arrival times for family, guests or suppliers.

Create a simple table with one row per movement: pickup, destination, passengers, ready-to-board time and arrival deadline. Mark which times are fixed. Share this with the transport provider and wedding coordinator so their schedules can be checked together.

Count transport users, not invitations

An invitation list is not a transport list. Ask guests whether they need the outward journey, the return or both, and which hotel or pickup point they will use. Include children in the passenger total and ask guests to raise boarding or accessibility requirements privately.

Give the transport provider a confirmed count and any remaining uncertainty. If your group may grow, ask when the final figure is needed. A late addition can affect capacity even when only one part of the day is full.

One coach or several shuttles?

One coach can keep a large arrival group together. Smaller shuttles may suit dispersed hotels or staggered departures, but each repeat run needs a realistic cycle: travel out, unload, travel back, load and depart again. Do not estimate the service by multiplying seats without accounting for time.

Ask the venue how many vehicles can load at once and whether guests can wait comfortably. A single suitable collection point can simplify the operation, provided it works for the guests. Compare coach hire and minibus hire using the actual movement schedule.

Give the return journey equal attention

Decide whether everybody leaves together or whether an earlier departure is useful for families and guests who prefer a shorter evening. Two timed returns can be easier to understand than an undefined rolling shuttle, but availability and cost depend on the itinerary.

Tell guests which departure they have chosen and where they should gather. Agree what happens if the reception runs late or a guest misses the booked departure. Do not rely on the driver to negotiate multiple extra hotel stops after the party.

Check venue access before choosing a style

A vehicle that looks right in photographs still needs to reach the loading point. Provide the exact entrance and ask the venue about narrow lanes, overhead restrictions, turning areas and surfaces. Have the operator confirm suitability for the proposed vehicle.

If you want a particular vehicle style, make that request separate from essential capacity and accessibility requirements. Confirm whether images are illustrative and what happens if a substitution becomes necessary. Appearance should not obscure whether every guest can make the journey comfortably.

Assign a transport contact who can answer

Nominate a coordinator, trusted guest or other agreed organiser to manage transport on the day. Give them the final passenger allocations and provider contact details. The couple should not be the only people able to answer a pickup question during the ceremony.

Share a short transport note with guests: date, exact pickup, ready time, departure, return choice and contact. Keep the message consistent across invitations, wedding websites and group chats. Replace outdated versions when a confirmed detail changes.

Should we book seats for every invited guest?

Ask who intends to use each transfer. Some guests will travel independently or only need the return. Use confirmed transport responses, with an agreed allowance for unresolved replies.

Can the same minibus make several hotel runs?

Possibly, if the complete shuttle cycle fits the schedule and access arrangements. Ask the operator to check travel, loading and turnaround time before allocating guests.

Who should speak to the driver during the wedding?

A nominated transport organiser with the final itinerary and authority to communicate changes. Give guests that person’s details so the couple is not the only contact.
