Divide the total transport cost by the number of paying contributors, not automatically by the number of seats or passengers.
The calculation
Add the confirmed transport quote and any separate transport charges you are responsible for. Subtract any contribution from the organiser, employer or sponsor. Divide the remainder by the number of people who will pay. Keep accommodation, entry tickets and meals separate unless you deliberately want an overall trip price.

Work out your group’s contribution
A worked example: 40 contributors
Suppose an illustrative transport quote is £1,200, separate confirmed parking costs £100 and a club contributes £200. The amount left to collect is £1,100. With 40 paying contributors, the share is £27.50 each. The example demonstrates the calculation; it does not describe a Global Bus Rental price.
If only 32 people contribute, the same £1,100 becomes £34.375 per person. Rounding up to £34.38 collects £1,100.16. Agree how any small surplus will be handled. A transparent rounding rule is easier to explain than an unexpected last-minute request for a few extra pounds.
Passengers and contributors may be different totals
A school may pay for staff seats from its own budget. A wedding host may cover the whole bus. A club might subsidise juniors while adults contribute. Count everybody for vehicle capacity, but use only the appropriate contributors when allocating the cost.
Do not divide by the vehicle’s maximum capacity unless every seat will be filled by a paying passenger. Empty seats still exist in the vehicle quotation. Similarly, selling an extra place should depend on confirmed spare seating and luggage space, not simply on making the spreadsheet balance.
Test the risk before collecting money
Run the calculation with your expected group, your confirmed group and a lower attendance scenario. This shows whether the organiser can absorb a shortfall or needs a minimum number of commitments. Share the assumptions before people pay: what the contribution covers, what happens if they withdraw and when the booking becomes committed.
Separate the transport provider’s cancellation terms from the rules you agree with individual travellers. A passenger dropping out does not necessarily reduce the operator’s charge. Equally, do not describe a contribution as non-refundable without checking the applicable booking terms and explaining your own arrangements clearly.
Compare alternatives fairly
When comparing coach hire, minibus hire and separate travel, use the full door-to-door cost. Include necessary onward transfers and baggage charges in alternatives where they apply. Consider arrival coordination too, but keep convenience separate from the financial calculation.

Budget questions
Should we divide the deposit or the full booking price?
Use the full amount payable when setting the overall contribution. The deposit is a payment stage, not the complete cost. You can then explain when each instalment must be collected.
How do we handle free places for organisers?
Count organisers in the passenger total but exclude them from the paying-contributor total if other funding covers their places. Make that allocation clear to the group.
