Transport choices in Japan
Japan’s high-speed rail network is complemented by local trains and buses. A group itinerary can combine a longer rail journey with a private local transfer rather than keeping the same road vehicle for the entire trip. Japan National Tourism Organization’s transport overview.
Airport names and the final station exit
Give the exact airport, terminal or railway station from the booking. For a station pickup, agree the meeting point and usable vehicle stop; the station name alone may not identify the exit required for a group with bags. Separate Tokyo, Kyoto and Osaka local programmes from any long-distance rail journey, and include the time at each visitor stop.

Tokyo arrival airports and onward station transfers
Tokyo’s official visitor guide distinguishes Haneda from Narita, which is in Chiba Prefecture, and describes rail and airport-bus alternatives. For a wider Japan itinerary, compare the flight arrival with the station where the next train actually departs, not only with a generic central-Tokyo destination.
If the group uses intercity rail between overnight bases, request the local transfers needed before and after each train. Include train number, station and agreed exit, plus the suitcases and equipment carried on that leg. A private vehicle waiting throughout a visit is a different request from a one-way station collection. Match the road request to the train programme
Provide each booked train or flight, station or airport, and the accommodation after arrival. For group sightseeing, list the visits and whether luggage remains aboard. Ask for a meeting point that the group can find and reach with its bags, rather than only a station name.
Compare minibus hire and coach hire using passenger, bag and boarding requirements. Have the local vehicle, permitted stop, waiting and any overnight arrangements confirmed for each road leg.
Choose the regional transfer after the long-distance leg
Hokkaido and southern Kyushu
Use Sapporo for a Hokkaido stay and Kagoshima for the southern Kyushu programme. These require separate regional planning, not a generic extension of a Tokyo city transfer. Give the actual flight or train, arrival station or airport, hotel and luggage for each local duty. If the group changes transport en route, say where the road vehicle is first needed and where its duty ends.

Connect the arrival airport with the actual destination
Start with the airport on the flight booking, then identify the actual hotel or venue entrance in the relevant city guide. Include the terminal, passenger and luggage totals, and required arrival time. The operator must confirm the collection point and route; a geographic airport reference does not establish a passenger service or transfer availability.
