Start with the fixed points in your day

First appointment

Give the full arrival address in Tokyo and the time your group needs to be ready there, rather than using the event start as the pickup time.

Movement between visits

List every venue in visit order. Tell us which stops need a waiting vehicle and which only require a later collection.

Last departure

Finish the brief with your last drop-off in Tokyo, or the next destination if the group continues elsewhere.

Use station exits and venue entrances in Tokyo

If part of the group arrives by rail, distinguish Tokyo Station from Shinjuku and name the agreed exit or meeting point. Scheduled express-bus terminals also have their own operating arrangements; a published public-service departure point is not a reserved private-coach bay.

For visits across Tokyo, list each venue entrance and the required arrival time. Add Yokohama or Chiba as separate destinations where relevant. The Japan transport guide helps compare private coach hire with intercity rail plus local transfers.

Choose the complete Tokyo arrival, not just the airport name

Tokyo’s official arrival guide distinguishes Haneda from Narita in neighbouring Chiba Prefecture and lists rail, scheduled airport buses and other ways into the city. Compare the complete journey to the hotel with your group’s luggage and any onward connection. A private coach enquiry should use the airport and terminal on the ticket, even if another airport appears nearer on a map.

For separate flight arrivals, state passenger numbers and luggage for each party and ask whether one combined movement is practical. If the itinerary instead begins after a train journey, send the booked station and agreed exit. The arrival transfer and a full-day vehicle assignment should be described separately, including whether bags stay with the vehicle during visits.

Give Tokyo Big Sight the hall and vehicle details

Tokyo Big Sight distinguishes several parking areas and classifies vehicles longer than six metres as large vehicles in its parking guidance. Some temporary areas may be unavailable because of event operations. A published parking area therefore does not guarantee a place for your coach or establish a passenger boarding location.

For an exhibition or conference, give the event name, hall, organiser’s entrance instructions and the number of arrival and return waves. Ask for passenger set-down and coach waiting to be agreed separately. A hotel shuttle should specify its departure windows and group lead, while an onward trip to Kyoto should make clear whether transport covers the full road journey or station transfers around a rail booking. These choices affect both the route and vehicle use.

Your Tokyo transport questions

Can the same airport collection instructions be used for Haneda and Narita?

No. They are separate airports. Provide the airport, flight number and terminal, then confirm the operator’s meeting instructions for that arrival.

What should a Tokyo railway-station pickup request include?

Give the station exactly as booked, the train number and arrival time, and an agreed exit or meeting point. Include luggage and walking needs so a suitable vehicle boarding location can be checked.

How should I organise several timed visits in Tokyo?

Put the venues in order with a required arrival time for each one. Use full addresses in Tokyo, Tokyo, and distinguish a waiting period from a new pickup. The schedule can then be checked as a complete itinerary.

Can our Tokyo enquiry include an onward visit to Kawasaki?

Yes, you can request an onward leg to Kawasaki. The map references are about 19 km apart in a straight line. This does not establish the road distance or vehicle availability. Give the onward address, the visit duration and whether you need to return.

What should I include for arrivals at Tokyo Haneda International Airport (HND)?

Use the airport shown on your ticket, such as Tokyo Haneda International Airport (HND), along with the flight number, date, terminal if known and number of bags. State any arrivals on different flights; collection arrangements and waiting terms need confirmation.

How do the Kawasaki and Ichikawa stops compare from Tokyo?

From the Tokyo geographic reference, Kawasaki is approximately 18.9 km away in a straight line and Ichikawa is 20.0 km away. Kawasaki is listed in Kanagawa; Ichikawa is listed in Chiba. The first two distances are close, so they give little basis for choosing the visit order. Use your actual addresses and appointment times. These are map measurements, not driving distances; a feasible route and vehicle allocation must be assessed in the quotation.

Does a Tokyo Big Sight parking listing guarantee coach space?

No. The venue says some parking areas depend on event operations and distinguishes large vehicles. The organiser and operator need to confirm the appropriate passenger stop, parking availability and return collection for the event.
