Treat a bus hire booking as a sequence of written decisions. Keep one record of the enquiry, the quotation questions, the accepted terms and the final confirmation so the organiser can see what has been agreed at each stage.

Create one complete enquiry record

Create one version of the enquiry and give it a reference or date. Keep the route, travel days, passenger range and required vehicle features together. If requirements change, send a revised brief so every provider is assessing the same request.

Vehicle selection belongs in the coach or minibus planning guide. This record starts with the agreed requirement brief and follows the decisions needed to turn an offer into a booking.

Compare and resolve quotation questions

For each quotation, record its validity, scope and unresolved questions. Check the operator and vehicle being proposed, the included movements and the booking terms. Ask for clarification in writing before treating an unclear item as included.

If you compare providers, keep the quotation versions separate. An amended return time or changed vehicle creates a different offer; record which version your organisation is considering.

Record approval and accepted booking terms

Identify who can approve the booking and what information they need. Provide the full quotation, inclusions, payment and cancellation conditions, plus any documents required by your organisation. Approval of a budget is not necessarily acceptance of a particular transport offer.

Follow the acceptance method in the quotation. If a payment or deposit is required, check its deadline, purpose and refund terms. Retain the accepted wording and any receipt with the booking record.

Confirm the booking and final passenger message

Obtain the written confirmation and compare it with the accepted offer. Check the route, dates, passenger and luggage arrangements, included vehicle use and contact procedure. Resolve a mismatch before issuing the final passenger message.

Before travel, share one approved version of the meeting and return instructions. Keep any later amendment with the confirmation, including the revised service and price where applicable.

Source guidance for this plan

Check the linked authority or venue guidance for the proposed route and date, then record the arrangements confirmed by the operator.

Use the school’s procurement, safeguarding and educational-visit procedures to identify the operator, driver and vehicle documents required. Confirm the actual seating, restraints, boarding and supervision arrangements before booking; transport does not replace the school’s own checks. DfE educational-visit guidance.

Questions about this planning record

An enquiry requests an assessment or offer. Follow the provider’s written acceptance and confirmation process before treating the journey as booked.

Use the version covering the final agreed itinerary and requirements. Keep any clarification, validity period and accepted terms with that offer.

Check your organisation’s approval process and the provider’s acceptance requirements. Internal permission to spend and acceptance of a particular booking can be separate decisions.

Compare it with the accepted offer and resolve the difference in writing before sharing the final passenger instructions.

Keep the approved revised service and any revised price with the original confirmation, then update the passenger message.
