Choose the correct entrance, not just the address
Hotels, exhibition venues and attractions can have separate arrangements for coaches. Ask the venue for the intended loading point, any booking requirement and a contact who can confirm access. Send that information to the provider with your passenger and luggage brief.
Think about the route passengers take after leaving the vehicle. A short walk on a map may involve steps, busy crossings or an unsuitable waiting area. If accessibility matters, check the whole path from the coach to the entrance rather than describing the destination as accessible in general.
Use current coach-specific information
Transport for London provides coach parking, access and major works information. It is a starting point for checking the plan, alongside venue instructions and the operator’s assessment. Do not assume a coach can wait on a nearby street because a passenger car can stop there.
London’s emissions schemes and other vehicle charges need checking for the actual vehicle and route. Ask whether applicable charges are included in the quote. Avoid adding one flat London charge to every bus, coach or minibus journey.
Plan the day around arrival deadlines
List any fixed admission, conference registration, performance or onward-travel deadline. Ask the provider to assess departure times that include road travel, loading and the movement from the drop-off to your venue.
If the group wants several sightseeing stops, identify which visits need the coach and which can be made independently during a parked interval. A sequence of short map distances can still produce a difficult day when boarding, parking and access are ignored.
One central pickup or several hotels?
A central meeting point may simplify the operation, provided it is suitable for the vehicle and convenient for passengers. Several hotel collections may better serve the group but add time and coordination. Compare both options using exact locations.
For airport arrivals, give the flight number, terminal information and luggage inventory. Heathrow private group collections have specific airport arrangements; a scheduled public coach stop is not automatically the pickup for your booking. Make waiting and the return location explicit
Ask whether the vehicle waits at the venue, parks elsewhere or leaves and returns. Do not promise passengers access to belongings during the day unless that has been agreed. Keep essential items with the group in suitable small bags.
The return point may differ from the outward drop-off. Record both clearly, with a meeting time and departure time. If an event finishes late, use the agreed provider contact and get changes confirmed before circulating a new schedule.
Decide whether a minibus or coach suits the trip
For smaller parties, minibus hire may be worth comparing, but access and luggage still need checking. Larger groups or substantial baggage may need coach hire. Do not choose solely because one category seems easier to manoeuvre; the operator must assess the specific vehicle.
For a day trip out of London, provide the destination entrance and the complete return plan as well as the city pickup. A long outward journey with a late return should be assessed as a full operating day, not as two isolated map estimates.

Can a coach pick us up outside any London hotel?

Is the return pickup always where we were dropped off?
