A London group visit needs more than an attraction name. Record the booked entrance, authorised coach stopping point, walking stage and return collection so each visit can be assessed against the vehicle and timetable.
Record the booked venue entrance and arrival deadline
Use the entrance shown on the venue or event booking. Record when passengers must be ready there, rather than only the performance, session or admission start. Include the walk from the proposed vehicle stop and any group-registration requirement.
Confirm loading, parking and access instructions
Ask the venue for its coach or minibus loading, parking and access instructions. Record any booking or arrival slot and send it to the operator with the offered vehicle requirements. A permitted passenger stop is not automatically a place to wait through the event.
Coordinate separate hotel or airport arrival waves
Keep each hotel, airport or station group as a separate movement with a passenger total and luggage requirement. Confirm which waves can share a vehicle and which need separate departures. An airport-arrival schedule should lead into the venue plan without replacing the venue’s arrival deadline.
Use a venue-transfer confirmation table
Use the venue-transfer table to record the entrance, arrival requirement, passenger stop, layover and return collection. Name one organiser who can approve changes. For a sightseeing circuit, use the separate London day-trip guide instead of expanding this record into an attraction itinerary.
Source guidance for this plan
Check the linked authority or venue guidance for the proposed route and date, then record the arrangements confirmed by the operator.
Follow Heathrow’s current charter-coach collection instructions for the terminal. T2 collection is at arrivals lane 3, stops 13–14; T3 at arrivals stops 9–10; and T5 at ground-level arrivals lane 1, stops 16–16B. Confirm the passenger meeting point, dispatch procedure and collection stand with the operator. Check Heathrow’s current group-coach guidance.
London charges depend on the vehicle class and its eligibility. Qualifying vehicles with nine or more seats can receive a 100% Congestion Charge discount; eligible buses in the relevant DVLA tax class are exempt. Check the specific vehicle and any registration requirement with TfL before travel. Check current guidance
