Use the ship and terminal details from your booking
Ports can have several passenger terminals with different access routes. Include the ship name, sailing date and terminal shown in your cruise information, and update the booking contact if the cruise line changes them.
For embarkation, provide the check-in window and latest arrival instructions from the cruise line. The transfer needs time for collecting the group, loading luggage and reaching the correct vehicle access point. A port’s general street address is not always a usable coach destination.
Choose a vehicle for people and cruise luggage
Cruise passengers may have large suitcases as well as cabin bags. Give separate counts and mention mobility equipment, pushchairs or other bulky items. Minibus hire can suit a smaller party, but storage must be checked alongside seating.
Coach hire may be a better option for a larger group or a heavier luggage load. Request any wheelchair space or boarding assistance early. The vehicle specification and what assistance can be provided are confirmed as part of the transport arrangements.

Plan collection after disembarkation
The ship’s scheduled arrival is not the same as your group being ready to board a vehicle. Use the cruise line’s disembarkation information and explain whether everyone is expected to leave together. Luggage collection and port procedures can affect the timing.
Agree the meeting point, waiting allowance and lead passenger contact. If you are connecting to a flight or train, send the departure and required check-in times. The onward connection needs to be considered when agreeing the transfer schedule.
Combine airport, hotel and port journeys
Some groups stay in a hotel before sailing or after returning. List each leg with its own date, location and passenger count so the quote covers the full plan. Separate flight arrivals may need separate airport transfers.
Confirm whether port access, parking, waiting and additional stops are included. A transfer quotation does not include the cruise itself or guarantee an onward connection. Keep the booking team informed when ship, flight or terminal details change.
