Distance is only one part of a coach transport brief. Describe the driving, waiting, repeated movements and any retained vehicle periods so quotations cover the same service and the effect of schedule changes can be agreed.

Separate driving from committed vehicle time

Driving distance and committed vehicle time describe different parts of a hire request. A movement can be short but require waiting or a later return; a longer drive can have a simpler service scope. Describe both before comparing offers.

List the point at which the vehicle is needed and the final agreed movement. Ask how waiting, additional stops and any overnight use are treated rather than assuming a universal hourly or mileage model.

Compare a transfer, a return and retained hire

For a one-way transfer, give the collection and destination. For an outward-and-return request, state whether the vehicle waits or returns later. For retained hire, identify the period and movements during which you need it available.

A vehicle retained for the day is not the same request as two fixed transfers. Keep each version separate when asking the provider to assess staffing, availability and the complete price.

Describe extra stops and late finishes

Mark the stops and appointments that set fixed deadlines. Describe a plausible later finish if the event can overrun, and ask how an extension would be approved.

An extra stop can alter driving, waiting, access or driver scheduling. Obtain the revised service and any revised price in writing; do not infer an automatic extra-hour charge or unlimited standby.

Use a vehicle-duty worksheet

Use the duty worksheet to list every movement and retained period. Send the same version when comparing providers, including vehicle, luggage and boarding requirements.

The separate budget guide explains how to use the resulting quotation in the group’s budget. This worksheet defines the vehicle use being priced.

Source guidance for this plan

Check the linked authority or venue guidance for the proposed route and date, then record the arrangements confirmed by the operator.

Vehicle specification can affect the quote: passenger layout, storage, equipment and the proposed service all matter. Driver scheduling depends on the operation, route, driving and duty time; reducing a coach from 49 to 36 passenger seats does not by itself change the applicable hours rules. Check the UK drivers’ hours overview.

Questions about this planning record

They are separate parts of the transport brief. Describe both so the quotation covers the intended vehicle use.

Request that arrangement explicitly. A retained vehicle and one returning later are different services.

Agree the possible finish window and amendment procedure. Any extension depends on the offered schedule, availability and accepted terms.

Compare the same movements, waiting, retained periods, vehicle requirements and complete written scope; distance alone is insufficient.

It defines the service being quoted. Use the actual complete quotation in the separate budget and cost-per-person calculation.
