Plan movements around the event programme and delegate locations. For shuttles, calculate a complete round trip before deciding how frequently departures can run.

Turn the programme into a movement schedule

List every hotel, arrival point and venue entrance involved. Identify fixed commitments such as registration, opening sessions, dinners and closing departures. Give each movement a passenger estimate and a required arrival time.

Separate delegates from staff or equipment movements where their schedules differ. An early setup team and a main attendee arrival may need different services. A single request for “conference coach hire” does not reveal those requirements to a provider.

Choose between waves and continuous shuttles

Timed arrival waves work when delegates are ready to leave together. A shuttle may suit a dispersed programme, but its frequency depends on travel in both directions, loading, unloading and any venue waiting. Do not promise a departure every few minutes before the operator has assessed the complete cycle.

For each option, ask what happens when demand peaks. A return immediately after the closing session can draw nearly every delegate at once, even if outward arrivals were spread across an hour. Capacity planning should follow the busiest movement rather than the average.

Resolve vehicle requirements before allocation

Ask delegates about practical accessibility needs through an appropriate registration channel. Confirm the required arrangements on the specific vehicle and at both ends of the trip. A hotel with an accessible lobby may still have a difficult route to its loading area.

If delegates travel directly from an airport, add their luggage to the brief. If you need a microphone, charging or Wi-Fi, identify these as requested facilities and confirm availability. Avoid making the programme dependent on features that have not been agreed.

Make boarding easy to understand

Use consistent movement names across the event app, emails and signs. Tell delegates where to wait, when boarding opens and whether they need a particular departure allocation. For multiple vehicles, visible group identifiers reduce confusion without requiring drivers to manage event registration.

Assign event staff where passenger coordination is needed. The provider operates the transport; your team should manage delegate questions and tell the provider when a group is ready. Give the transport lead authority to communicate approved programme changes.

Plan late sessions and split returns

Agree what happens if a keynote overruns or dinner finishes late. A later departure can affect vehicle and driver availability. Notify the provider promptly and get changes confirmed rather than passing informal instructions to individual drivers.

For delegates returning to different hotels or airports, keep the allocations explicit. Avoid combining last-minute destination requests into an undefined route. A planned split service can be assessed and priced; an improvised one may be impractical.

Prepare the booking for internal approval

Record the complete cost, applicable taxes, payment requirements and scope in the format your organisation needs. Compare quotations against the same operations sheet. How many vehicles do we need for a conference shuttle?

That depends on peak passenger demand, vehicle capacity and the full shuttle cycle. Supply the programme and hotel locations so the operator can assess frequency and capacity together.

Can the coach display our event name?

Ask what identification or signage the provider permits and can arrange. Agree the wording and responsibility in advance; branding is not automatically included in the transport booking.

Who should coordinate delegates at the hotel?

Assign an event contact or marshal where coordination is needed. They can manage attendee questions and readiness while the driver focuses on the transport operation.
