Start with the correct Brussels airport

Brussels Airport at Zaventem and Brussels South Charleroi Airport are different airports. Use the airport code and flight from the booking so that the transfer is quoted from the right location. Brussels Airport has a railway station beneath its terminal; Charleroi’s rail connection involves an additional bus journey from a station. For a private airport coach or minibus transfer, include the onward hotel address, bags and any arrivals on separate flights. Do not assume a general Brussels pickup request identifies the airport.

If a conference group lands at both Brussels Airport and Charleroi, list the flights separately and decide whether to request separate vehicles or a coordinated meeting later in the itinerary. Do not combine the two airports into one unspecified collection time.

Choose a Brussels return or an onward Belgium tour

For a Brussels conference with a visit to Ghent or Bruges, decide where the group finishes that evening. A return to the Brussels hotel, an overnight stay in Bruges and a direct airport departure are three different transport requests. Put the chosen finish point and hotel check-in date beside each day rather than asking for an unspecified Belgium tour.

During a Bruges visit, allow for the walk between the confirmed passenger stop and the booked visit, and agree the return meeting point. Bruges: separate the visit from coach parking

Bruges’ official visitor information identifies a coach park on Bargeweg, with passenger facilities at Bargeplein across the R30. That is a useful reminder to plan the arrival point and walk into the centre, rather than assuming a coach can wait outside each attraction. See the official coach-park information.

For your Bruges group visit, provide any mobility constraints and the actual visitor entrance. The operator should confirm the permitted passenger stop and parking for the date and vehicle. Other Belgian cities need their own access checks.

Vehicle, schedule and quote details

Provide the group size, suitcases, equipment, dates and exact collection addresses. A conference shuttle needs departure waves and the correct venue entrance; an evening event needs a clear return time and hotel list.
