One-way transfer

This covers an agreed pickup and destination. Ask what happens if the group is late and whether the quoted pickup point is suitable for the vehicle. Airport waiting arrangements should be explicit, particularly when flight arrival time and passenger-ready time differ.

Return transfer

This is an outward journey plus a separately timed return. Clarify whether the vehicle stays with you or leaves between movements. If you want spontaneous stops during the gap, include them in the enquiry instead of assuming they form part of a return booking.

A sightseeing day or business roadshow may need several transfers and waiting periods. Send a schedule with all stops and its latest finish. Ask how the price changes if an appointment overruns or you add another destination.

Why a short journey can still have a substantial quote

The visible drive is only part of the commitment. The operator may need to position the vehicle, reserve a particular time window and accommodate loading or waiting. A trip lasting a few minutes does not necessarily have a proportionally tiny operating cost. Request a fixed total for your movement so these assumptions are clear.

Likewise, dividing a full-day price by the number of travel hours can be misleading. The vehicle may be unavailable for other work while it is committed to your itinerary. When you can be flexible, ask which timing changes would actually affect the quote.

A small-group comparison you can use

Imagine 12 travellers with 12 large suitcases and four cabin bags. One quotation describes only a 12-passenger vehicle; another specifies seating and storage for the full inventory. The second is the more complete comparison, even if its headline is higher. Send the luggage list back to the first provider before deciding.

Then compare the group booking with any taxi or rail alternative using the same starting point, arrival time and baggage requirements. Include connections and the practical difficulty of keeping the party together. Do not assume private transport is always cheaper; the value depends on the actual prices and the journey.

What to ask before paying

• Does the total include the driver and every agreed movement?
• Which waiting, parking or airport charges are included?
• What vehicle capacity and luggage arrangement have been confirmed?
• Are any requested accessibility features or child-seat arrangements confirmed?
• When does the quote expire, and what are the payment and cancellation conditions?

Make mandatory requirements easy to identify. “Executive” does not, by itself, confirm a specific seat layout, charging sockets or Wi-Fi. Amenities are subject to the selected vehicle. If a feature determines whether the booking is suitable, have it recorded in writing.
